The detail records associated to a Quote record within the Manage Quote interface can be combined into one or more groups.  The purpose of grouping is to consolidate the details of the quote into one line item description for formatted quote output, such as forms and letters.  Any number of line items can be listed for a single quoted charge and a user may want to only list a general description for the entire group.

Grouping quote records is not the same as grouping of revenue items.  When quote records are imported into Revenue Entry they will fall into their own logical financial groupings outside of whatever group was assigned to them within the Quotes module.   However, the grouping will remain intact when it’s viewed from within New Complete / New Supplemental Invoice interface (see Figure 10).

 

In addition to grouping the quotes for invoicing, another benefit to grouping is that when the status is changed for a group it is applied to all the items belonging to it. 

 

Grouping Quote Details

1.   In Mover’s Suite,

2.   Find and open an order,

3.   Open the Quote tab of a selected order record,

4.   Select a Quote from the list available from the drop-down menu,

5.   Press the Edit button to access the Manage Quote interface,

6.   Select records to be grouped using the computer’s mouse,

Tip: To select multiple records at a time hold down the CTRL key and click on records individually, or select a range of records by holding down the SHIFT key and clicking on a starting then an ending record value.

7.   Press the Group button and the Create Quote Group dialog will appear,

8.   Check Hide Items to not have the quote details display on quote output (see Figure 15 and Figure 16),

9.   Check Subtotal Items to include the group amount within the subtotal displayed within quote output.  This option is only accessible when the Hide Items option is selected.  When Subtotal Items is unchecked, then a user can update (override) the Amount field within the Create Quote Group dialog.  The data for the Amount field will appear in all output,

10.  Enter a Description for the group.  The text of this field is what will be displayed in quote output,

11.  Press OK to keep the changes and to close the dialog.  The Manage Quote interface will become active again,

12.  Repeat Step 5 through 10 to add other groupings,

13.  Press Save within the Manage Quote interface to keep all changes.  Otherwise, all changes made within the Manage Quote, Add and Edit Quote dialog or the Create Quote Group dialog will be lost.

A user can choose to group all Quote Details for all quote records.  Once a grouping is in place a user cannot edit the group attributes.  To make changes to the group attributes within the Create Quote Group dialog, a user will need to Un-Group the selection and then reapply the Group with the correct settings.
