What's New

Document Management

MoversSuite Document Management integrates with Microsoft Windows SharePoint Services (WSS) (a free application included in Server 2003-2008 Operating Systems) to offer a truly hands-free interface for managing all order-related documents. Any file type recognized by Microsoft SharePoint can be rendered in MoversSuite by the document viewer and attached to an order without paper transfer. All documents, including emails, Microsoft Word files, estimates, image files, spreadsheets, etc. can be linked to a MoversSuite order and shared among MoversSuite users. Additionally, modification made to each document is tracked within a versioning system. All MoversSuite users will be able to access the same set of files displayed in the viewer for a particular order and will have the ability to add, print, and email documents, add notes and view a list of revisions made to the files from a stand-alone viewer.

Document Management is an add-on module that must be purchased in addition to standard MoversSuite functionality and is designed to work specifically with Microsoft Windows SharePoint Services. Click here to access MoversSuite Document Management user guide.

Mid-Year Release

The goal of the Mid-Year release of MoversSuite is to provide fixes that have little impact on MoversSuite users during the moving industry’s busy season. It will be a full release, meaning that a full installation upgrade will be applied to your system and just like all MoversSuite releases, the Mid-Year release will be fully tested internally by our Quality Assurance department and externally by our beta clients.

The Mid-Year Release of MoversSuite will contain the following fixes:

  • Payroll Distribution report was pulling expenses from the incorrect branch (issues #2531/2597).
  • A problem with errors occurring when there was no data to report in certain sections of the Work Ticket (affects Microsoft SQL Server 2008 and Reporting Services 2008 only) has been addressed (issue #2606).
  • Issue where invalid reductions were being created when importing split reductions from a Rating Send has been fixed (issue #2617).
  • The problem of drivers not receiving commissions for non-transportation split hauls has been corrected (issue #2619).
  • In some cases, running Customer Statements by Customer Class was causing balance forward issues (issue #2632).
  • Issue where the Agent could not be found in MoversSuite during a Registration Name & Address Information download from UniGroup has been fixed (issue #2638).
  • Issue of incorrect aging data showing in the AR aging buckets when the Show Non-Invoiced Items option was set for a Customer Statement run has been addressed (issue #2640).
  • A problem where Rating Sends were not being imported for own authority orders from TechMate/FirstMate has been resolved (issue #2661).

Fall 2009 Release

Fall 2009 Sneak Preview

The release due out this fall is scheduled to have the following functionality.

AR Credit and Collections

AR Credit and Collections module has been designed to provide on-demand information regarding your customer accounts, allowing for decreased time and expenses associated with managing receivables and collections. Instant access to customer contact information, payment history, AR details, aging information and more, along with seamless integration with task workflows and a customizable alert system, provides specialists with a workflow that will allow them to effectively monitor and act on all customer account activity.

If managing customer accounts is draining your time and resources, then you should seriously consider purchasing the AR Credit and Collections module for your company. This module will be available in the Fall 2009 release of MoversSuite.

Voting Enhancements

Voting ended on May 22 for the list of items to be included in the Fall 2009 release of MoversSuite and several great suggestions for enhancements were generated, including the following:

  • Add the ability to view details of posted items in Payment Management
  • Make several improvements to the Tasks functionality
  • Add the option to import Cash Receipts from Excel or CSV files
  • Enhanced navigation to identify correct orders quickly
  • Provide integration with the TransDoc document management system

Microsoft Office SharePoint Server (MOSS) and Microsoft Windows SharePoint Services (WSS)

Two Microsoft technologies provide us and our customers a highly effective and comprehensive means of opening communications between all business units and employees. Microsoft Office SharePoint Server (MOSS) provides a suite of integrated servers that provide an organization complete document and information-resource management allowing teams to effectively collaborate across boundaries, employees to search throughout the enterprise, and accelerates shared business processes.

Microsoft Windows SharePoint Services (WSS) provides a company with web-based tools that interact with Microsoft Windows Server allowing for full, familiar functionality that company employees are used to in a Microsoft Office environment.

No geographic boundaries will limit your employees to work and develop using this web-based solution. Although MOSS may be built upon WSS, each can be used distinctly. In particular, the Document Management solution introduced with the Mid-Year release of MoversSuite has been built upon the WSS technology; however, it has also been geared to become more effective when implemented with MOSS.

Darla Gillaspie

Darla Gillaspie Nothing comes more natural to Darla than talking with customers and helping them find the answers they need. With over 20 years of industry experience, coupled with her current role as Support Services Manager, Darla is excited about constantly learning more about the moving industry while finding motivation in its workers: “I enjoy dealing with the customers and every day is something different.”

Her enthusiasm to provide for the needs of her customers also enables Darla to constantly task the Development team to ensure that better software is developed that accurately satisfies the needs of her customers and is truly functional for the industry in general. With Darla’s specialty in Accounting and Financial Services and Invoicing, this is no easy task for Development.

On the personal side, Darla grew up in Montana, had a stint in the Army, and now is a proud mother of two. She enjoys reading, hiking and camping with her family.

Questions & answers

How does the Dispatching Common View work?

Dispatching Common View works by grouping branches in the same service or geographic area together when being viewed through Local Dispatch. This feature allows a user to select a Service Branch and be able to view all branches within the same service area without having to switch between branches.

The Dispatching Common View setting is found within MoversSuite Administration (Web) > Common > Branch Setup and consists of a four-character code. Services for all branches defined with the same Dispatching Common View value will appear in the Dispatch Center when any of the common branches is selected for the Service Branch.

Notes:

  • Branches included in a “Common View” are not viewable individually, therefore the selected Service Branch will always include all branches assigned to the same Dispatching Common View value.
  • The Dispatching Work Ticket report uses the Dispatching Common View when generating its display.

Where can the estimate date for an order be found in MoversSuite?

The estimate date for an order is stored within the Orders.EstDt field within the MoversSuite database and is displayed in the Survey Date field found on the Agents tab.

The estimate date is primarily used as an import field from third party applications such as IGC Software and TechMate.

Is it possible to show only the non-finalized statements in Commission Statement Management?

Simply click on the Final column and drag it to the “Drag a column header here…” section. The entire grid will be reduced to two options: Final: False and Final: True. Click on the expand button (MoversSuite expand button) next to Final: False to view the non-finalized statements.

What move dates affect a storage billing run?

Order dates associated to a move, such as Load Dates, do not affect a storage billing run. The items that affect storage billing run are found within each storage billing “record” and include the Billing Type and Begin Billing Date. See Recurring Billing Storage subject within the online help for more information.

Is there an option that would allow the default hours per laborer (Hrs/Man) to be updated manually?

Yes. The Manual Entry Hours flag can be set to "1" (one) for local service definitions allowing users to override the default computed man hours. Alternately, the flag can be set to "0" (zero) to prevent a user from overriding the default computed value. When requesting local services a user can quickly determine if the default hours can be overwritten; if the calculator icon is visible to the right of the Hrs/Man field the default hours can be overwritten, if the calculator is “grayed out” the Hrs/Man are not editable.

The Manual Entry Hours flag is found within the Mover’s Suite Administration > MSS > Local Services > Serv Type setup and controls user access to the Local Dispatch > Dispatch Center > Add/Edit Local Services > Hrs/Man. The Hrs/Man field determines the duration of a job along with job starting and ending times.

Is there a way to create a new task without copying an existing one?

While the Tasks Work Flow screen offers an Add Order Task feature directly on the screen, this same function is available through the New button in the order entry modules (Order Information, et al), as well.

What screens can be resized in MoversSuite?

Many MoversSuite screens can be expanded to fit your display needs. For example, the Local Dispatch screen, along with the individual panes in the Dispatch Center tab, can be resized. This is especially handy when managing a large number of records. Other notable areas where this functionality exists in MoversSuite is within the Revenue Entry Transactions grid and Tasks Work Flow.

To see if a screen, pane, dialog, grid, etc. is resizable, click on the expand button (Windows options) in the upper right-hand corner of the window or click on a corner and drag the screen to the desired size (see image below). It is considered resizable if the components within the screen expand to fit the increased window size.
