Cash Receipts provides a quick and efficient means of entering receipts for all company sales transactions including walk-in material sales, storage, local own authority and international moves.  It provides a mechanism to associate orders that feed directly into Payment Management allowing order-related accounting transactions to be processed and posted.

 

The Cash Receipts interface is accessible through the Contents screen or through Go To > Accounting & Financial > Cash Receipts.

The Cash Receipt module allows a user to define a new batch and to add individual receipts to a batch.   Individual receipts can be edited and voided up until the batch is placed into the “In Process” status (viewable through Payment Management).

 

The Cash Receipts screen is designed to facilitate entry of cash receipt payment data.  The screen contains many keyboard shortcuts and hotkeys as listed in the screen and record functions below.

Find

ALT+F

Opens the Find Cash Receipt(s) By dialog allowing the user to select a receipt to display. 

New

ALT+N

Opens the Cash Receipts tab for entry of a new cash receipt.

A user can define a new batch by clicking on New and selecting New Batch.  There is no shortcut for a new batch.

Edit

ALT+E

Opens the displayed record for editing. 

Important:  The Payment Type and Amount cannot be edited once the receipt has been saved.

Save

ALT+S

Saves changes made to the open record.

Cancel

ALT+C

Cancels and discards all changes that may have been made to a receipt.

Print Receipt

ALT+P

Opens a Report Viewer window displaying a payment receipt for the record currently being displayed.

Void Receipt

ALT+V

Places the open receipt into a voided state and removes the link to the batch it was associated to.  The receipt must have a status of “Open” to be voided.

Important: When all receipts belonging to a batch are voided, then the batch itself will be automatically be voided.

Add

ALT+A

Opens the Find Order(s) By dialog allowing a user to select an order to be associated to the open receipt.

Note: More than one record can be selected at a time within the Find’s selection grid and all selected records will be associated to the receipt when Select is pressed.  Use CTRL+Click to select records individually or use SHIFT+Click to select a range of records.

Delete

ALT+D

Removes the association to the order displayed at the top of the Associated Order(s) data grid.

 

Another efficiency feature of Cash Receipts is in the New Batch function.  When a new batch is created, the Cash Receipts tab is immediately ready for input a of a new cash receipt belonging to the newly defined batch.

 

Completed batches will be available for processing and posting in Payment Management.
