When tasked to create an invoice a user can pull up the option-filled work screen in the New Complete Invoice or New Supplemental Invoice interface.  From its option-filled screen users can generate a complete invoice for revenue items associated to an order, or they can create a supplemental invoice to invoice any items created after the initial (complete) invoice. 

 

Important: The New Complete and New Supplemental invoice generation options are identical except that New Supplemental will include all items not selected for the New Complete invoice.  For example, if a transportation charge was not included on the initial invoice generation then it will be available on the subsequent, or supplemental, generation.

Send Invoice To

Customer location of where the invoice will be sent.  By default, if the Remit-To field is set to a van line then a user will be able to update the address.

Optionally, a flag exists within the System File that, when set, will also allow the user to update this field regardless of the Remit-To setting.

Refer to the Updating the Bill-To Address on an Invoice for details.

Invoice Date

This is the date of the invoice and will also be used to compute the late payment date assigned through the Invoice Terms.

Invoice Terms

Choose to pull the terms from those defined within MoversSuite or by the Customer or choose to not display any terms.

Header

The Header address appears at the top of all invoices.

Remit-To

Remit-To is the location of where the recipient should send the payment.

Source Description

Choose the source of the revenue for the provided list.  Once selected, the items associated to the selected source will appear below.

Source Items

Listing of items for the selected source.  Grid lists the item description, amount of the item, and Invoice Number.

Move Line Buttons

Allows a user to select or remove lines from the invoice line items grid.  Note: Multiple source items can be selected and moved at a time.

Invoice Lines

Items listed in this section will be included as part of the invoice and will be displayed in the order presented.

Edit

Edit the attributes of the selected invoice item.

Move Invoice Item

These arrows can be used to rearrange the order that the items display in.

Grouping

Choose to create a group record for selected invoice line item(s).

Add/Delete Invoice Line

Add or delete an invoice group or item. These are termed ad-hoc items and do not create any revenue transactions.

Pre-Payment Amount

Enter any amount that may have already been received from the customer for the invoiced items.

AR Amount

This is a display only field and includes the accounts receivable amount of the invoice line items.

Invoice Total

This is a display only field and represents the total invoice amount of all the invoice line items.

Invoice Note

This function allows a user to add a note that will appear at the bottom of each invoice.

Invoice Report

Select which report that will be used to produce the invoice documents.

Preview Invoice

Opens a Report Viewer window with the rendering of the Invoice Report document containing all related information for the invoice. The invoice number will be listed as “Draft”.

Generate Invoice

Generates the document and opens a Report Viewer window displaying the contents of the finalized invoice.

Close

Closes the New Complete/New Supplement Invoice interface window.
