The maximum amount of an advance is automatically calculated within MoversSuite and is displayed when adding a new advance using the Add/Edit Advance interface.

Figure 9: Maximum amount of advance to a driver in the Add/Edit Advance
The maximum amount is computed by taking the advance limit less the amount of all advances issued to the driver. The advance limit itself is calculated using several administrative settings which are listed in the table below.
|
Advance Limit Variable |
Description and Location |
|
Line Haul Percentage |
Located in MoversSuite Administration - web > User Setup > Personnel > Dispatch > Line Haul %. The application will look at the total amount of line haul for trip or order and multiple it by the Line Haul % to come up with a limit amount. For example, the Trip Linehaul is $5,000.00 and the driver’s Line Haul % is 25%, then the limit amount would be $1,250.00 ($5,000.00 x .25). Note: The line haul amount is set within the Move Information > Disc l/h field and the Trip Linehaul in Long Distance Dispatch is a total of the Disc l/h amounts from all orders assigned to the trip. |
|
Allow Amount Over Percentage |
Set within MoversSuite Administration - web > Accounting Setup > Advance Setup. This field instructs the application to add a certain dollar amount above the amount computed using the Line Haul % value. If the limit computed using the line haul amount and the Line Haul % value is $1,250.00 and the Allow Amount Over Percentage is set to $250.00, then the total limit available to the driver would be $1,500.00 ($1,250.00 + $250.00). Important: This field is a global setting and will apply to all drivers. Note: This field is ignored if the Line Haul % is zero (or not set). |
|
Advance Cap Trip |
Set within the MoversSuite Administration - web > User Setup > Personnel > Advance Setup. This field sets a limit to the total amount a driver can be advanced per assigned trip. If the Advance Cap Trip is set to $2,000.00, then a long distance driver can receive an advance up to that amount. |
|
Advance Cap Order |
Set within the MoversSuite Administration - web > User Setup > Personnel > Advance Setup. This field sets a limit to the total amount a driver can be advanced per assigned order. If the Advance Cap Order is set to $500.00, then a driver can receive an advance up to that amount. |
The advance limit for each driver will be computed and evaluated based on the variables above. If a variable is not set or a value that the variable relies on (such as the Move Information > Discounted Line Haul), then it will be ignored. Further, the smallest advance limit computed using the advance limit variables described above will be used to calculate the maximum allowed for an advance to a driver.
If an advance limit cannot be computed, then the driver will not be eligible to receive an advance.
Advance Limits Computing Example
Assume that the following values are set:
• Line Haul % of the driver is set to 25%
• Allow Amount Over Percentage is $500.00
• Advance Cap Trip is $2,000.00
• Trip Balance from Long Distance Dispatch is $5,000.00
In this scenario the driver would be eligible to receive up to $1,750.00 ($5,000.00 x .25 + $500.00) in advances for this trip.
If the driver had already received an advance for this trip in the amount of $250.00, then the maximum amount available would be computed as $1,500.00 ($1,750.00 - $250.00).
If the Trip Balance was $10,000.00 (instead of $5,000.00), then the advance limit would be $2,000.00; since the computed advance limit of $2,750.00 ($10,000.00 x .25 + $250.00) exceeds the cap amount the application returns the Advance Cap Trip amount.
Reminder: The lowest value of either the Advance Cap Trip or Advance Cap Order and that computed using the Line Haul % and Allow Amount Over Percentage will used to determine the advance limit; from which, the amount of exiting advances for the same trip or order will be deducted to determine the current maximum advance amount.
