Task Definition and Task Group settings define the workflow of an order or claim and affects user access within the Customer Web Portal.   Task Definitions can be set as follows:

Setting the Task Definition and Task Group within Name, Address, Phone will generate a list of action items associated to an order.

Setting the Task Definition and Task Group within Claims > Claim Detail will generate a list of action items associated to a claim.

Setting the Task Definition and Task Group within Account Profile Management will cause orders created using a particular account to have the same Task Definition and Task Group settings.    When the account profile is assigned to an order it will effectively set the Task Definition and Task Group values in Name, Address, Phone.  Reference the Account Profile topic for more information.

 

Additionally, the Task Definition can be used to define a company profile for accessing the Customer Web Portal.  Refer to the Customer Web Portal Setup for details.

 

Selecting a different Task Definition record will remove all existing task items including those marked as complete.   Once a new Task Definition is selected, the task items will be recreated.   To reset the Task Definition of an order back to the original definition: Change the Task Definition to a different value, save the order, reselect the original definition, and resave the order.

 

Important:  Changing the Task Definition on an order or changing the Status of an order to “Voided” or “Cancelled” will remove all existing tasks, even those marked complete or not applicable.

 

Tasks action items are created automatically when the Task Definition is set or when a user manually adds a task.   While adding a task manually creates a single action item, the automatic process will create any number of action items.  In either case, order-related data can be referenced through a dependency date or user type.
