File properties are easily viewed and updated through the right-mouse click option of Properties.

The Properties window displays file attributes associated to the selected file and provides a user the ability to update the Document Type, Description, Notes, and Work Ticket Number (when applicable) values assigned to the document.

The table below describes the fields accessible through the Properties dialog.

 

Properties Field

Description

Order Number

 

Displays the MoversSuite Order Number to which the file is attached.

Estimate Number

Displays the MoversSuite Estimate Number to which the file is attached.

Shipper

Displays the Shipper/Company Name on the MoversSuite order to which the file is attached to.

Last Modified By

Displays the Microsoft Windows user that modified the selected document.   This is the user that logged into the client system and may or may not be the same user that logged into MoversSuite.

Last Modified On

Displays the date (in Day, Month DD, CCYY HH:MM:SS AM/PM format) of when the last revision was made to the document.

Document Type

Defines the description used to categorize the document.  Document Types are defined within the Document Types Setup

Note: This field can be updated through the Properties option after the document has been added.

Work Ticket Number

This field will appear and be required when the Document Type is defined with the Is Work Ticket flag set.

Description

The Description is the text that displays for the document within the viewer.  A default description will be supplied by the application that can be overwritten.

Attachment

Displays the physical name of the file stored in Microsoft SharePoint.

Notes

Attach a note describing the document or its contents.

Updating document properties

1.   In MoversSuite,

2.   Access a MoversSuite record using Find,

3.   Open the Tools > Document Management Viewer and the MoversSuite Document Management viewer will open,

4.   Right-mouse click the line containing the document to be updated and the file options will appear,

Note: Refer to the Attaching Files within Document Management section to add a document,

5.   Select Properties and the Properties window will open,

Update Editable Fields:

a.   Select a Document Type to assign to the file.  Document Types are defined within the Document Types Setup.  Selecting a Document Type that requires a work ticket, as determined by the Is Work Ticket flag, will activate the Work Ticket Number field for required input; in such case, select the work ticket from the available list to be referenced by this document,

b.   Update the Description field which was set with the default value defined for the Document Type.  The Description appears as the document’s title within the viewer,

c.   Enter Notes to be linked to the document. When a note is attached to a document, a note icon () will appear for the file within the viewer,

6.   Press Save to keep the document property updates.
