The Tasks module is available through the Contents screen or by Go To > Common Services > Tasks and displays all open tasks that have the due date set and have been personnel assigned to them.

 

Users have two options to control what data appears in the Tasks Workflow data grid: Task User any day and Task Group by day(s)

 

Task User any day option will retrieve all open tasks  for a selected Task User up to and including the selected Date

Note: The Task User drop-down menu includes data columns for Name and Labor Type both of which allow the user to sort the data by either column.

Task Group by day(s) option will retrieve data for a selected Task Group for a given date range based on task due date.  Only tasks with due dates within the selected range will be returned.  To find task for a given day, enter the same date within each of the Task DatesNote: Both Tasks Dates will default to the current date.

Note:  Although a Task Group  is associated to a particular Task Definition, it allows a user to link groups of similar records, such as those belonging to a specific account, store, or customer, together for searching and workflow duties.

 

Records based on the selected view option will be displayed within the data grid.  This full-function grid allows a user to change the columns that display and their order of appearance.  The state of the data grid will also be preserved for the next time the user access Tasks and reset to its original settings through the right-mouse click option of Reset Grid Layout.   Read more about full-function grids in the Data Grids topic.

 

Task items that are overdue will appear in red colored font and the data will be sorted by Due Date in ascending order.

Important: Only tasks with a Due Date and assigned to a Task User will appear in the Tasks Workflow data grid.  To see all task items associated to an order, click on Open Order and access the Tasks tab.

 

Data that displays within the Tasks Workflow is described in the table below.

 

Tasks Tab Fields

Description

Task Definition

Displays the individual tasks item associated to a manually added task or those defined for the Task Definition record through Task Definition Setup.

Order Number

 

Displays the Order Number that the task is linked to.

Identifier

Displays the Claims Number associated to the record, if applicable.

The Show All option will allow a user to view all tasks associated to an order including those listed in Claims.

Note:  The Identifier will be set to the claim settlement description (set in Claims > Manage Settlement) when the due date is based on a Claim Settlement type.

Shipper

Displays the name of the shipper associated to the order.  This value is pulled from the Name, Address, Phone > Last Name/Company Name.

Task Description

Displays the action item associated to a manually added task or those defined for the Task Definition record through Task Definition Setup.

Due Date

Displays the task due date. By default the data grid will be sorted in ascending order by the Due Date; with those tasks with no due date at the top of the list.

Complete

Displays a checkmark () if the task has been completed.

Task User

Displays the MoversSuite user assigned to perform the task.

Completed By

Displays the name of the MoversSuite user that marked the task complete.

Date Completed

Displays the date that the task was marked completed.

Module

Displays the name of the module that the task was created in as either Order Information or Claims.

Original Due Date

Displays the date originally set for the task.  This date will not change and will always reflect the first date set for the task.

Task Changed On Date

Displays the date that the task was changed.

Task Changed By

Displays the name of the MoversSuite user that changed the task.

 

Selecting a task item will allow the functions to become active.

A standard Notes tab is available to Tasks users.  The Notes tab provides a list of notes associated to the order selected within the Tasks Workflow tab.  The ability to add a note to the order is available from both the Workflow and Notes tab.

Users can double-click on a note record to view the information through the Note dialog, which features an Append to Note function, as well.
