A batch or receipt can be voided.  A batch can be voided through Payment Management as long it is still in a status of “System” and no receipts are attached to it.  

 

Individual receipts with a status of “Open” can be voided as long as they are not being processed in Payment Management.  

 

Use the procedure below to void an individual cash receipt.

 

Void a Receipt

1.   In MoversSuite,

2.   Access Cash Receipts,

3.   Use Find (ALT+F) to identify an open receipt; Cash Receipt Status of “Open.”  Refer to the Find topic for more information and specifically to the Order Information Search Criteria and Customer Information Search Criteria for search options,

4.   Press the Void Receipt button,

Pressing Void Receipt will open the Void Cash Receipt dialog.

5.   The Voided Date and Voided By fields will be set by MoversSuite.  The Voided By field will be set to the user logged into MoversSuite.  This void information can be viewed by pressing the Void Cash Receipt button for a voided receipt,

6.   Enter a description for the Reason Cash Receipt was Voided prompt,

7.   Press OK to void the record.  Voided receipts will have a Cash Receipt Status of “Voided” and will not appear as a detail item for the batch in Payment Management.

 Important:  Once the receipt is voided the action cannot be undone. 

Pressing the Void Receipt button on a receipt already voided will display the Void Cash Receipt dialog in read-only mode allowing a user to see the reason for void.
