Use the Agents tab to link van line agents to an order.  Additionally, contact information for the agent can be updated on a per order basis.

Described below are the fields and functions available within the Agents tab.

 

Note: 

The contact, phone number, phone extension, and memo fields can all be updated.  Changes made to these fields will be attached to the order and will not affect the record stored within Agent Setup

 

Field/Function

Description

Booking, Origin, Hauling, and Destination Agents

Agent Identification Number

Selected agent from the available list defined within Agent Setup

Drop-down menu () allows a user to sort by Agent ID, agent name, or van line affiliation.

The Agent Find can be used as a more robust means of locating an agent.

 

Agent Find

This button opens the Agent Find screen.

Agent Information

This button opens the Agent Information dialog allowing a user to view data on the selected agent.

Agent Name and Location

These fields display the Name, City, State, and Postal Code of the agent.

Division

Select a division from the list.  See Divisions for more information.

Note:  The following four fields can be updated by the user and will be saved under the order.  The Agent Setup record will remain unaffected.

Contact

Enter/update the name of the contact person for the agent.

Phone Number

Enter/update the contact phone number for the agent.  Press the phone icon () to access Phone Number Entry.

Ext

Enter/update the phone number extension (up to 10 digits) for the agent contact.

Memo

Additional contact information or other pertinent data (up to 60 characters) can be set in the memo area.  Common usages for this field are to store a fax number, old addresses, or email address(es). 

Other Agent Information

 

Other Surveyor

By default, users can enter a surveyor that is not affiliated to an agent.  Enter the name of surveyor (up 32 characters).  This field will be available until an Origin Agent is set that is defined as a sister agent (see OA Coordinator field description).

OA Coordinator

Coordinator assigned by the origin agent to be responsible for the move.  This field will appear when the Origin Agent set above is setup as a Sister Agency within Agent Setup.

Personnel must have a Status of ACTIVE and Labor Type of Coor in Personnel Setup to be available to be assigned as the OA coordinator.

OA Surveyor

 

Surveyor assigned by the origin agent to be responsible for surveying the move request.

Personnel must have a Status of ACTIVE and Labor Type of Coor in Personnel Setup to be available to be assigned as the OA coordinator.

OA Surveyor Calendar

Access the system-defaulted calendar, such as Microsoft Outlook, of the OA Surveyor.  See Email and Calendar Options in MoversSuite for details.

Survey Date

Date the survey was performed on. 

See Date Fields for data entry options.

OA Order

Set if the order was Pre-sold by the origin agent or Non-sold (competitive bid).

Van Line Agent Information

 

Van Line Registration Date

Enter the date that the order was registered on the van line system.

See Date Fields for data entry options.

By

Enter the person responsible for registering the order on the van line system (up to 26 characters).

Van Number

Number used to identify the van assigned to the order (up to 12 characters).  This field will automatically fill-in with the van number of the driver assigned to the order through Long Distance Dispatch.  The value is from the Van # field from the Personnel Setup record of the long distance driver.
