A user can attach a document to an order using the Document Management Viewer which uploads the file into the Microsoft SharePoint.

 

Attaching a document to a MoversSuite order

1.   In MoversSuite,

2.   Access a MoversSuite record using Find,

3.   Open the Tools > Document Management Viewer and the MoversSuite Document Management viewer will open,

4.   Click on Attach File and the Select File To Attach dialog will appear.  Use this dialog to search and select the file to attach,

Note:  The Select File To Attach dialog can be used to move, copy, rename, etc. a file.

 

 Drag and Drop Feature

Alternately, one or more files can be selected from the Microsoft Windows desktop or a Microsoft Windows Explorer application and dragged into the viewer.  Once dropped into the viewer the Attach File dialog will appear for each file to be added to the order.

Email messages from Microsoft Outlook can be added to a viewer by selecting the message in Microsoft Outlook and placing it on the desktop.  From the desktop, it can be dragged and dropped into the viewer.  Note:  The ability to drag and drop directly from Microsoft Outlook to the Document Viewer will be available in a future release of MoversSuite.

5.   Once a file has been selected, press Open to access the Attach File screen.  From Attach File, a user can opt to attach the selected file to a different order altogether by using the Find, set document properties, create notes about the document or its content, and use the Browse to select a different file,

6.   To attach the file to a different MoversSuite order, press Find and a Find Order dialog will appear.   Enter data to search MoversSuite for a particular order and press Find.  If more than one record is found, then a selection grid will appear and a user will need to choose a record and double-click on it or press Select,

7.   Select a Document Type from the available list.   Document Types are defined within the Document Types Setup.  If the selected Document Type requires a work ticket number, as determined by the Is Work Ticket flag, then a Work Ticket Number field will be visible as a required field,

8.   Enter a Description for the document to display as its title within the Document Management viewer and within Microsoft SharePoint.  A default description will be supplied by the application based on the Document Type which can be overwritten,

9.   Verify that the Attachment file is correct or Browse to select another file (Browse opens the Select File To Attach dialog),

Important:  The Attachment file cannot be changed within the Properties window.  Refer to the Viewing and Updating Document Revision History section for more information.

10.  Enter text for any Notes that may be needed to describe the document or its contents,

11.  Press Attach to add the document to order.  The attached document will automatically be added to the appropriate group within the viewer.

 

The Document Type, Description Notes, and Work Ticket Number (when appropriate) can all be updated after the file is attached.  Refer to the Viewing and Updating Document Revision History section.
