When a document is attached to a MoversSuite order it will be uploaded into Microsoft SharePoint where it will be stored in a document library based on the year the order was created and then within a folder based on the order’s primary key (Orders.PriKey) value.  For example, documents for orders created in 2009 will reside in a folder based on the primary key under the MoversSuite 2009 folder (see Fig. 13 below).

 

Note: The date an order is created in MoversSuite is stored within the Orders.CreatedOn field.

The documents linked to an order are accessible when the order folder is opened.  Data listed in the Document Management Viewer are also represented in Microsoft SharePoint as well, including the following:

      Document Type

      Document Description

      Work Ticket Number

      Order Number

      Estimate Number

      Document Notes

Users can also add, edit, and delete documents directly from within Microsoft SharePoint.  Selecting either Upload > Upload Document or Upload > Upload Multiple Documents will bring up a check-in form prompting for data fields.

Note:  If a user enters a Document Type that is not defined in MoversSuite then the file will display in the viewer within the Other Documents document group.
