Email and Calendar Options in MoversSuite

Microsoft Outlook Integration

 

Email notification can be an essential part of a moving company’s cycle of information.  Sending and tracking messages regarding service requests, bookings, claim notifications, sales lead, etc. can be a critical link in any organization therefore MoversSuite provides built-in features that integrate with Microsoft Outlook that help facilitate the transfer of information. 

 

Integration with Microsoft Outlook provides the ability for a user to directly access their mailbox and calendar from within MoversSuite.  There are also several places within the application that will allow an email to be sent to someone associated to an order.

 

The Send Email button at the bottom of the Name, Address, Phone tab is just one such feature that will allow a user to send an email to the contact for the order.

When the Send Email button is pressed, a new Microsoft Outlook message window will appear.  In many cases the intended recipient’s email address will be automatically placed in the To property of the message.

Data can be added, recipients updated, etc. by the user prior to sending the message.  Since this window exists outside of the MoversSuite application, it can remain open while a user continues working in the application.

 

 

Microsoft Outlook Calendar

 

The Microsoft Outlook Calendar can be accessed directly through MoversSuite.  Not only can a user access their own calendar, but they can also pull up the calendar of the Salesperson or OA Surveyor assigned to an Order.

Automated Email Service

 

Another feature of MoversSuite that is intended to help expedite information is the automated email service.  This built-in functionality will generate an email whenever a particular event occurs within MoversSuite, such as when Order’s status is changed.

 

The application can be configured to send the email to users directly associated to an Order, such as the salesperson, coordinator, or dispatcher, whenever the event occurs.  The email notification can also include one other specified email as defined within the Mover’s Suite Administration for each pre-defined event.

 

 

Monitor Orders Service

 

Another automated email notification service is activated when a change is made to either the Actual Load Date and/or Actual Delivery Date.  The message will notify all assigned customer contacts of the details involved with the date change.  This logic is controlled through the Monitor Orders flag within the Account Profile Management interface.
