Tasks are designed for MoversSuite users to effectively manage their workflows. Tasks defined in MoversSuite Administration – web can be applied to any order through the Task Definition and Task Group fields.
Task Definitions profile a set of tasks, including name, visibility, and possible account association. Task Definitions are also used to control user access within the Customer Web Portal (see Customer Web Portal Setup for more information).
Task Groups are a subset of Task Definitions and aid in filtering the search results within the Tasks screen and allow for invoicing variables to be defined for Special Services (see System ID Setting for Special Services Invoices for more information).
Orders are assigned to a Task Definition and Group within the Name, Address, Phone tab or through the Claims interface. Tasks can also be automatically associated to an order through Account Profile Management (see Account Profile topic for details)
Assigning Tasks to an Order
Tasks are assigned to an order through the MoversSuite > Name, Address, Phone tab or through the MoversSuite > Claims interface by setting the Task Definition and Task Group fields.

Task Definition and Group can be automatically set when the order is assigned to an account through the Account Profile > Account Profile field.
Note: Account Profile functionality must be enabled and Tasks fields must be set via Tools > Manage > Account Profile. See the Account Profile topic for more information.
Note: Only Task Definitions and Task Groups that have been defined specifically for Order Information module will be available through the Name, Address, Phone tab and Account Profile Management interface. Refer to the Task Definition Setup section for more information.
Once the Task Definition field is set, the application will update the Tasks tab with all specific tasks assignments and related data. Personnel will be automatically assigned to a task based on their role assignment (coordinator, salesperson, etc.).

Tasks for all orders will be managed using the Tasks Work Flow screen within a full-function grid, where overdue items will appear in red font. Tasks Work Flow is accessed through the Contents screen or through Go To > Common > Tasks.

Use the Tasks tab to view and manage notes for a particular order. Use the Tasks Work Flow screen to view and manage task workflow for the entire organization. Refer to the Tasks Tab and Tasks Work Flow for details.
Important: Changing the Task Definition will reset all tasks for the order. All tasks, including modifications made specific to the order, will be deleted when the Task Definition is changed. Further, changing the Order Status of the order to Voided or Cancelled will also reset all tasks.
Assigning Tasks to a Claim
Claims offers a separate Tasks tab allowing users to view and create tasks specific to a Claim Number.
Note: Only Task Definitions and Task Groups that have been defined specifically for the Claims module will appear within the Claims interface. Refer to the Task Definition Setup section for more information.
