Users will be able to view order-specific tasks through the Tasks tab.  This tab provides quick access to the tasks associated to a particular order.  Tasks can be marked as complete, can be copied, or they can be marked as “Not Applicable.”   A user can also create a task for an order by pressing New > Add Order Task.

 

The Tasks tab is available in most MoversSuite modules including Order Information, Special Services, Claims and Revenue Entry.

Listed in the table below are the fields that display within the Tasks tab.

 

Tasks Tab Fields

Description

Identifier

This is the number that was used to create the task detail record.  The Identifier will typically be the Order Number of the opened order, however, if the Show All option is on (see functions listing below) then all tasks associated to the order will display including those marked as Not Applicable and those created under a particular module, such as Claims.

Note:  The Identifier will be set to the claim settlement description (set in Claims > Manage Settlement) when the due date is based on a Claim Settlement type.

Task Definition

Task description from the Task Definition record.

Complete

A check mark will appear within this box if the task has been completed (blank otherwise).

Completed By

The name of the MoversSuite user that marked the task complete.

Due Date

The computed due date in Day of the Week MM/DD/CCYY format.

The Tasks grid will be sorted in ascending order by the Due Date, by default.

A blank Due Date indicates that the task either does not have a dependency date or the date in MoversSuite that the task is dependent on has not been set.

Task User

The order-assigned personnel scheduled to complete the task, as defined within the Task Definition record.  The task user will be set automatically depending on setup and personnel set on the order.

The Task User can be linked to the following (as defined with Task Definition Setup):

Claims Adjuster (Claims > Claim Detail > Adjuster)

Logistics Coordinator (Name, Address, Phone > Logistics Coordinator)

OA Coordinator (Agents > OA Coordinator)

Revenue Clerk (Name, Address, Phone > Revenue Clerk)

Sales Person (Name, Address, Phone > Salesperson)

Transportation Coordinator (Name, Address, Phone > Transportation Coordinator)

Task Users will be updated automatically when personnel are assigned to an order.

Note: The task user can be set to other personnel, including those not assigned to the order, through the User Type setting (refer to the Adding a Task within MoversSuite section for details).

Date Completed

The date the task was marked completed in Day of the Week MM/DD/CCYY format.

N/A

A check mark will appear within this box if the task has been mark not applicable (blank otherwise). 

When a task is marked not applicable, it will be removed from the general Tasks tab display; it will show in the display when the Show All option is on.

Not Applicable User

The name of the user that marked the task as not applicable.

Not Applicable Date

The date that the task was marked as not applicable in Day of the Week MM/DD/CCYY format.

Module

The name of the module that the task was created in.  Currently this will be set to either Order Information or Claims.

 

The table below lists the functions available to users within the Tasks tab.

 

Tasks Function

Description

 

The Task Complete option will mark the selected task as complete.   The task completed and completed by fields will be set and no further action for the task will be allowed.

The Add Note option opens the Add Note dialog to allow the user to create a note for the order.

The Refresh Tasks option will update the task grid based on changes made to the database.

The Copy Task option opens the Add Task dialog where the information of the selected task is painted in the fields.   This feature allows a user to create a modified version of a task for an additional order requirement, such as a second request.

The Not Applicable option marks the selected task as not applicable.  Once a task has been marked not applicable it will be removed from the main display grid, unless the Show All option is on.  To modify the view to display Not Applicable task, select the Show All option.

When Show All option is on, all tasks associated to the opened order will display within the task grid.  By default, this option is not selected (off) and will not show all tasks, including those that are marked as Not Applicable or those that belong to a related claim.
