Tasks users will have access to the Tasks Work Flow.  This screen is available through the Contents screen or by MoversSuite > Go To> Common Services  > Tasks.  From this interface, a user can manage the workflow for selected tasks by Task User by day, by Task Group by date , or for the entire Task Group

 

The Work Flow tab will display upon initial access into Tasks.

The Tasks Work Flow offers a full-function grid allowing users a wider array of tools to sort, filter, and arrange the tasks data.  Refer to the Data Grids subject for more information.

 

Further, the Tasks Work Flow will display tasks that are overdue, based on the specified Date compared to the current date, in red font. 

 

Note: Both the “by day” options will select records that have a Due Date that is older than, or the same as, the specified Date value.  Tasks will not appear if the Due Date or Task User is not assigned for the order. 

 

The Tasks Work Flow will have a default view of Task User by day with the current day set within the Date field.  This provides the user with a default list of tasks scheduled to be completed for the day in addition to any that have yet to be completed.

 

Listed in the table below are the fields that display within Tasks Work Flow.

 

Tasks Work Flow Fields

Description

Task Definition

The Task Definition (profile) assigned to the task.  The Task Definitions are assigned to an order through the Name, Address, Phone > Task Definitions and the Claims > Claims Detail > Task Definitions fields.

Task Definitions are created within the Task Definition Setup.

Task Description

This is the specific task name associated to the Task Definition.

Due Date

The computed due date in Day of the Week MM/DD/CCYY format.  The entire task will be highlighted in red font if the Due Date of the item is beyond the current date.

Task User

The order-assigned personnel scheduled to complete the task, as defined within the Task Definition record.  The task user will be set automatically depending on setup and personnel set on the order. 

The Task User can be linked to the following (as defined with Task Definition Setup):

Claims Adjuster (Claims > Claim Detail > Adjuster)

Logistics Coordinator (Name, Address, Phone > Logistics Coordinator)

OA Coordinator (Agents > OA Coordinator)

Revenue Clerk (Name, Address, Phone > Revenue Clerk)

Sales Person (Name, Address, Phone > Salesperson)

Transportation Coordinator (Name, Address, Phone > Transportation Coordinator)

Task Users will be updated automatically when personnel are assigned to an order or if users are individually assigned to new tasks (through the add or copy tasks functions).

Note: Any users with full access to the Tasks module can be assigned to and manage tasks within Tasks > Work Flow.

Complete

When viewing records by Entire Task Group, a check mark will appear within this box if the task has been completed (blank otherwise).

Completed By

When viewing records by Entire Task Group, the name of the MoversSuite user that marked the task complete will display.

Order Number

 

The Order Number that the task is associated with.    

Identifier

This is the Order or Claim Number that was used to create the task detail record with.  If the task was created within the Claims module then the Identifier will be the Claim Number or the description for the claim settlement (when the due date is based on a Claim Settlement type), otherwise the identifier will be the Order Number. 

Note:  Tasks for leads will appear within the grid without an identifier.

Shipper

This is the name of the shipper for the Order Number, as set through the Name, Address, Phone > Last Name field.

Date Completed

When viewing records by Entire Task Group, the date the task was marked completed in Day of the Week MM/DD/CCYY format.

Module

The name of the module that the task is defined for.  Currently, this will be set to either Order Information or Claims.

 

 

The table below lists the functions available to users within the Tasks screen.

 

Tasks Function

Description

The Task Complete option will mark the selected task as complete.

The Add Note option opens the Add Note dialog to allow the user to create a note for the order.

The Refresh Tasks option will repopulate the task grid based on changes made to the database.  If a user navigates away from Tasks and returns, then a Refresh Tasks will be necessary.

The Refresh Tasks option reissues the search.  If changes have been made to the View Tasks By options, then the Refresh Tasks function will need to be performed in order to execute the search.

The Add Order Tasks opens an Add Task dialog with no prefilled data.

The Copy Task option opens the Add Task dialog where the information of the selected task is painted in the fields.

The Open Order option allows the user to access the order record through either Order Information or Special Services, depending on the module associated to the selected task record and defined within Task Definition Setup.

Note:  The option to open a claim record within the Claim module does not exist.

 

 

A standard Notes tab is available to Tasks users.  The Notes tab provides a list of notes associated to the order selected within the Work Flow tab.  The ability to add a note to the order is also available.
